People & Office Specialist
Fygë Group · Helsinki · Full-time
What Fygë actually is
Fygë is a B2B corporate catering company based in Helsinki. We serve 900+ corporate clients and do over €1.5M in annual revenue. We make food for offices — meetings, events, daily catering — and we're good at it. We also run Monda, the resident restaurant at Maria 01 (Northern Europe's largest startup campus). It's a real flagship restaurant serving real lunch to a building full of startup people every day.
Fygë was co-founded and is run by a husband-and-wife team. We're a small company growing fast, with a kitchen team, an operations team, and a handful of people making everything work. We're not a startup burning VC money. We're a profitable business that's scaling.
Why this role exists
We've never had a dedicated in-house HR person. The founders have handled hiring, onboarding, contracts, payroll coordination, and people questions themselves, alongside running the business. That's worked so far, but it doesn't scale. We need someone to own the people side of the company. Not as a policy enforcer, but as someone who actually helps our team work better. As the first HR hire, the key role in helping us build structure as we grow, combining people operations with hands-on coordination and support for founders and teams.
What you'll actually do
The core of the job is:
- Run recruitment end-to-end: mostly kitchen, operations, and office roles. You write the ads, screen candidates, coordinate interviews, and close hires.
- Onboard new people properly: contracts, documentation, introductions, making sure they don't feel lost on day one.
- Own HR admin: employee records, contracts, trial period tracking, and keeping everything organized and compliant with Finnish labor law.
- Handle payroll coordination: collect hours, track absences, prepare the monthly data, and work with our accounting team to make sure people get paid correctly and on time.
- Support managers: our team leads are good at their jobs but they're not HR professionals. Help them with feedback conversations, performance questions, and team issues.
- Support founders: help bring clarity and structure to day-to-day HR and operational topics through hands-on coordination and administrative support
Beyond the core:
- Keep the office running: supplies, suppliers, and the kind of coordination that nobody notices until it breaks.
- Help build internal processes ,we're growing, and a lot of things that used to be informal need to become structured without becoming bureaucratic.
- Contribute to team culture: organize the occasional team activity, improve how we communicate across teams, and generally make Fygë a place people want to stay.
To be direct: this is a first HR hire at a company with ~25 people across brands. You will build things from scratch. Some weeks will be very structured (payroll, recruitment pipeline, onboarding). Other weeks, you'll be solving whatever problem just came up. If you need a perfectly defined job description to function, this isn't the right fit.
What we're looking for
- 3–5 years of experience in HR, people ops, office management, or a similar role where you actually did things (not just observed them).
- You understand Finnish labor law ; contracts, trial periods, working time, and leave. You don't need to be a lawyer, but you shouldn't be Googling everything from scratch.
- You've worked in a fast-paced environment before; hospitality, retail, startups, or anything where plans change and you adapt.
- You're organized and you follow through. If you say you'll send the contract Monday, it goes out Monday.
- You can talk to people; kitchen staff, managers, founders and adjust your communication accordingly.
- Comfortable working across different topics, including supporting founders in a fast-moving environment
Language: English required. Anything else is a plus, we are an international team.
What the first 3 months should look like: By the end of month three, these things should be true:
- There's a working hiring and offboarding process from ad to signed contract and it doesn't depend on the founders.
- New hires go through a real onboarding, not a "here's your laptop, good luck" situation.
- Employee records, contracts, and documentation are clean, current, and findable.
- Payroll runs smoothly each month without last-minute scrambles.
- Team leads come to you with people questions instead of the founders.
